Converting estimates to jobs

Turn an approved estimate into a scheduled job with one click — all the details carry over automatically.

Convert an approved estimate

Once a customer approves an estimate, a Convert to Job button appears on the estimate detail page.

  1. Open the approved estimate.
  2. Click Convert to Job.
  3. Review the job details — all line items, notes, photos, and customer info carry over.
  4. Assign a technician and set a date.
  5. Click Create Job.

The estimate status changes to Converted and links to the new job for reference.

What carries over

Everything from the estimate transfers to the job:

  • Customer and service address
  • All approved line items (optional items the customer accepted are included; declined items are excluded)
  • Notes and photos
  • Pricing and tax settings

Converting without approval

You can convert an estimate to a job even if the customer hasn’t formally approved it through the portal. Open the estimate and click Convert to Job from the actions menu. This is useful for phone approvals or repeat customers.

Automatic conversion

In Settings → Automation, you can enable Auto-convert on approval. When turned on, WorkBoss automatically creates a draft job whenever an estimate is approved by the customer. You just need to assign a tech and schedule it.

Tracking the relationship

The job always links back to its original estimate, and the estimate links forward to its job. This makes it easy to trace the full history from initial quote to completed work and payment.
