Creating and sending estimates

Build professional estimates with line items, optional services, and photos — then send them to your customer for approval.

Create a new estimate

  1. Go to Estimates → New Estimate or click + New Estimate from the dashboard.
  2. Select a customer — Search by name or create a new customer record.
  3. Service address — Confirm the property address for the work.

Add line items

Click Add Line Item to add services and materials:

  • Service — Select from your service catalog or type a custom description.
  • Quantity — Number of units or hours.
  • Rate — Per-unit or hourly rate. Defaults from your service catalog, but can be edited per estimate.
  • Tax — Toggle tax on or off per line item.

Optional items

Mark any line item as Optional to give the customer a choice. Optional items show on the estimate but don’t count toward the total unless the customer approves them. This is great for upsells like “Replace the faucet while we’re there.”

Add notes and terms

  • Customer-facing notes — Appear at the bottom of the estimate. Use this for scope details, warranty info, or timeline expectations.
  • Internal notes — Visible only to your team.
  • Terms and conditions — Set default terms in Settings, or customize per estimate.

Attach photos

Click Add Photos to include images from a site visit. Photos appear in the estimate and help customers understand the scope of work.

Send the estimate

Click Send to deliver the estimate via:

  • Email — Customer receives a branded email with a link to view, approve, or decline.
  • SMS — A text message with a short link to the estimate.
  • Share link — Copy a direct link to share however you’d like.

Customer approval

When the customer opens the estimate link, they can:

  • Review all line items and optional services
  • Approve or decline optional items
  • Add their signature
  • Click Approve to accept the estimate

You’ll receive a notification instantly when the estimate is approved or declined.

What’s next?

Once approved, you can convert the estimate into a job with one click.
